Create New Access Group

In most organizations, a small number of access groups are configured at implementation and maintained. If needed, new access groups can be created. If the new access group will have similar permissions to an existing access group, we recommend you clone the original group and make modifications as needed.

To create a new access group:

  1. Choose between two options:

    • Click the down arrow next to the New button.

    • Select File > New > Select from the Main Menu.

      The Module menu opens.

  2. Select Access Group from the menu.

    The Access Group Details page opens.

  3. Enter an ID for the new access group in the Access Group ID field.

    The ID must be unique. If you enter an ID that is already in use, you will be prompted to correct this when you attempt to save the new record.

  4. Enter a more descriptive name for the access group in the Name field.

    The ID and Name fields are both displayed in the Access Group List.

  5. Select the applications that should be available to members of this access group during sign-in from the Applications field.

    Application options include:

    • MGR — Gives access to all system applications (MRO, Service Requester, Technician Work Center, Reporter, and MC Express)

    • MGRD — Takes the user directly to the MRO Work Center, without having to select an application at sign-in

    • R — Service Requester only

    • RPT — Reporter and MC Express

    • TWC — Technician Work Center and MC Express

    • TWCRPT — Technician Work Center, Reporter, and MC Express

    • DASH — KPI Dashboard and MC Express

      Note:

      The value specified in this field is populated onto the member record of all members of this access group. Application access for individual members can be modified in the Members module.

      Access to MC Express as referenced in the above list is contingent upon your license agreement. Application settings for concurrent licensing differ slightly from the named licensing model reflected here.

  6. Select the repair center that manages this access group from the Repair Center field.

  7. Click the Save button.

    Your changes are saved.

    You must complete the required fields on the Details tab before proceeding to enter data on other tabs.

  8. Complete configuration for this access group by making modifications to the other tabs.
